Job Description
Your Career We are seeking a colleague who possesses a thorough knowledge of best practices for building maintenance and operations, office management and external and internal customer services to join our awesome JAPAC Places Team. This role will be required to support the Places Sr. Manager in day-to-day facilities operational activities and work independently but collaboratively in a collegial team environment for a fast-paced and dynamic company. By providing best in class workplace experiences and supporting our FLEXwork policy, this role is critical to delivering the company’s commitment “To create a safe and collaborative workspace that supports our flexible and inclusive culture”. The position also involves JAPAC team members on regional department development programs. Your Impact Proactively oversee and manage day to day facilities operations and logistics within the premises which covers for server/lab spaces and security equipment Assist with project bid and tender process and administer relevant documentation relating to the facility location, including for any minor alteration and addition works Oversee facility location vendor procurement which include raising of relevant PR/PO, invoice processing, contract review and service maintenance for soft and hard services Oversee and manage Front of House operations including but not limited to visitor management, security, cleaning, events setup, shipping/receiving and office supplies Recommend and implement maximum cost-effective solution to any situations that may arises Support and implement the Global Safety and Security team initiatives such as evacuation exercises and EH&S programs Provide remote facilities operations support to serviced offices in the Japan portfolio Coordinate with various internal and external stakeholders for emergency preparedness action plans Ability to respond to important and urgent maintenance calls outside of regular business hours Any ad-hoc duties and projects as required to meet the needs of the business or as directed by the Places Manager Provide guidance and cooperation to the Person with Disability Office Administrator in daily operations Most of the work would be performed in the Tokyo office - The work from home options would be limited Competencies Client focused Well organized and capable of prioritizing and balancing simultaneous tasks under deadline pressure Building and maintaining internal and external relationships Financial administration for CapEx and OpEx budget would be plus
Qualifications (Additional Job Description)
Your Experience Using of reporting metrics to recommend or develop new process and procedures for business improvements Dynamic and team oriented with excellent interpersonal skills at all levels, business judgment, strategic thinking and superior work ethic in fast-paced environment Creating an exceptionally friendly, positive and collaborative working environment for clients, peers and direct reports Handling preventive maintenance and coordinating for planned annual power outage for server/lab environment Support of any new initiatives as part of regional or global roll out programs and other miscellaneous tasks Financial administration for CapEx and OpEx Other Requirements At least 5 years experience, appropriate qualifications and professional memberships in the same field and role in a multinational technology company would be plus Health Supervisor qualification or a willingness to obtain the certification after employment Ability to operate in a complex environment with minimal guidance A sense of humor and grace under pressure
