Administrative Support Associate – Organizational Change Management (OCM)
Role Summary
The Organizational Change Management (OCM) team supports enterprise initiatives by preparing leaders and employees for change. The Administrative Support Associate provides day-to-day administrative and coordination support to help the team operate efficiently.
This role focuses on organizing materials, maintaining trackers, supporting recurring meetings, and ensuring timely follow-up on assigned tasks. The position works under guidance from OCM team members and follows established processes and templates.
Key Responsibilities
Meeting & Program Support
- Assist with scheduling meetings, sending reminders, and coordinating logistics.
- Prepare draft agendas using provided templates and input from team members.
- Compile and format presentation materials based on content supplied by stakeholders.
- Capture meeting notes, manage meeting recordings, and update action trackers as directed.
- Maintain recurring program trackers to ensure status information remains current.
Document & Reporting Support
- Update PowerPoint decks, Excel trackers, and reports with accuracy and consistency.
- Gather and consolidate data from multiple sources into standardized templates.
- Conduct basic quality checks for formatting, completeness, and accuracy.
- Maintain organized file structures within shared repositories.
Administrative Coordination
- Distribute communications and materials to stakeholders as requested.
- Track assigned action items and send structured reminders to stakeholders based on established deadlines and direction from OCM team members. Escalate unresolved items as instructed.
- Support ad hoc administrative requests from the OCM team.
- Assist in maintaining documentation libraries, templates, and version control.
Required Skills & Experience
- 1–3 years of administrative, coordination, or operational support experience.
- Proficiency in Microsoft Excel (basic formulas, data organization).
- Proficiency in Microsoft PowerPoint (formatting, slide updates, template use).
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks with clear prioritization.
- Clear written and verbal communication skills.
- Comfort working in a structured, process-driven environment.
- Familiarity with Microsoft Teams, Outlook, and shared document platforms.

- Materials and trackers are updated accurately and delivered on time.
- Meetings are supported with organized documentation and follow-ups.
- File repositories remain structured and easy to navigate.
- Assigned tasks are completed reliably with minimal rework.
