Overview
We are seeking a highly capable Chief of Staff to act as a strategic partner and force multiplier to the COO. This role is designed for a strong operator who thrives in fast-moving environments, takes ownership of ambiguous problems, and ensures critical initiatives are executed effectively across the organization.
This is not a traditional administrative or purely strategic role. The Chief of Staff will operate at the intersection of strategy and execution—owning key projects, improving internal operations, and helping the company scale with clarity and discipline.
What You’ll Do
1. Drive Execution Across the Company
Own and lead high-priority initiatives from concept through completion
Ensure alignment, accountability, and follow-through across teams
Identify gaps, solve problems, and remove bottlenecks
2. Act as a Force Multiplier to the COO
Take ownership of key initiatives
Help prioritize initiatives and ensure focus on what matters most
Step in to lead or support projects as needed
Partner across company departments to ensure goals, objectives and processes are aligned
3. Strengthen Internal Operations
Improve processes, communication, and cross-functional coordination
Bring structure to areas that are currently undefined or inefficient
Ensure the business is operating smoothly day-to-day
Develop and leverage AI to enhance and streamline processes
4. Oversee Core Business Functions (Light Oversight)
HR / People Operations: Support performance management, basic people ops systems, and coordination with external resources
Finance: Partner with bookkeeping/accounting to ensure accuracy, timeliness and visibility into payroll and expenses.
- Take ownership of ensuring the accuracy and timeliness of every payroll process
Quickly learn existing processes and how the business operates in order to effectively support and improve these functions
This role is not expected to be a deep technical expert in HR or finance, but must be comfortable owning and coordinating these areas
5. Support Training & Development
Help improve onboarding and internal training processes
Coordinate training initiatives and resources
Ensure team members have what they need to succeed
Identify training and development needs for internal team and external contractors
Follow through on training expectations and manage the delivery and completion of required training
6. Leverage AI technology & Automation to Improve Efficiency
Utilize AI tools to streamline workflows, improve productivity, and enhance decision-making across the organization
Identify opportunities to implement AI-driven solutions that increase efficiency, reduce manual work, and improve outcomes
Recommend and help implement process improvements that incorporate automation and AI where appropriate
Stay current on emerging tools and proactively introduce practical applications to the business
Fully utilize and manage tech stack utilization and accuracy
Personally learn, adopt, and utilize the company’s technology stack, ensuring tools are consistently used, maintained, and optimized by the internal team (e.g., keeping project management systems like Monday.com accurate and up to date)

Who You Are
A strong operator who takes ownership and follows through
Able to quickly learn new processes, systems, and how the business operates
Comfortable working in ambiguity and creating structure where none exists
Highly organized with excellent judgment and prioritization skills
Able to work across functions and influence without formal authority
Direct, thoughtful, and comfortable addressing challenges

Curious and proactive about leveraging technology, including AI, to improve how work gets done
Ideal Background
Experience in operations, Chief of Staff, or similar cross-functional roles
Experience leading or supporting AI initiatives to improve internal processes and operations
Background in startups, agencies, or other high-growth environments preferred
Proven track record of owning and executing complex, cross-functional initiatives
Experience working closely with senior leadership
Highly proficient with a variety of tools and able to leverage them to their full potential
What This Role Is Not
Not an administrative assistant role
Not a siloed functional leader (e.g., only HR or only finance)
