OVERVIEW:

As an Administration Assistant, you will play a pivotal role in the "engine room" of our operations, ensuring a seamless document collection process and supporting the delivery of expert-driven loan solutions that empower entrepreneurs to achieve their financial goals.
RESPONSIBILITIES:
- Pipeline Management: Oversee the initial stages of the loan lifecycle by creating new client profiles within Broker Engine and initiating document upload requests.
- Document Coordination: Manage the end-to-end collection of financial documentation, rigorously reviewing incoming files for accuracy and completeness.
- Client Communication: Act as a professional point of contact for clients, providing clear updates and persistent follow-ups to ensure all requested information is satisfactorily uploaded.
- Application Support: Collaborate closely with the Administration Manager to prepare and build out loan applications, ensuring they meet lender requirements.
- Team Collaboration: Partner with the sales and deal-generation teams to streamline the transition from lead to application, maintaining a high level of momentum for every file.
- Process Optimization:Proactively identify bottlenecks in the administrative workflow and suggest improvements to enhance efficiency and the client experience.
- Executive Support: Perform ad-hoc administrative duties as directed by the Company Directors to support the firm’s strategic objectives.
- Professional Development: Participate in ongoing coaching and mentorship sessions to refine your expertise in complex lending structures and mortgage administration.
Must Have:
- Experience: Previous experience in an administrative or support role within the Australian mortgage brokerage, banking, or financial services industry is highly essential.
- Technical Proficiency: Prior exposure to Broker Engine or similar mortgage CRM platforms (e.g., Mercury, MyCRM, or Salestrekker) is a significant advantage.
- Education: Bachelor’s degree required—ideally in Finance, Accounting,
- Business, or Economics.
- Attention to Detail: Exceptional organizational skills with the ability to spot discrepancies in financial documents and complex data.
- Communication: Strong verbal and written communication skills in English with a focus on delivering high-quality client service.
- Reliability: A self-starter who can manage competing priorities in a fast-paced, deadline-driven environment.
