Executive Virtual Assistant (Admin, Inbox & Operations Support)

POSITION OVERVIEW

We are seeking a Full-Time Executive Virtual Assistant to support two company executives who
oversee multiple franchise locations in the hospitality and entertainment industry.

This role will focus heavily on email management, administrative coordination, document
organization, and operational support. The ideal candidate will help the executives stay organized,
reduce administrative workload, and improve daily operational efficiency.

This role will support two executives simultaneously and will require someone who is highly
organized, proactive, and comfortable managing a large volume of emails and administrative tasks.

KEY RESPONSIBILITIES

Inbox & Communication Management
● Manage high-volume executive inboxes
● Organize emails and prioritize key messages
● Draft responses where appropriate
● Flag urgent items requiring executive attention
● Maintain email organization and structure

Administrative & Operational Support

● Assist executives with daily administrative tasks
● Track and manage action items and follow-ups
● Upload and maintain review logs
● Track and manage company licensing documentation

Task & Workflow Management
● Input and track tasks in Ninety.io
● Support executives with project and task tracking
● Help ensure priorities and deadlines are organized

File & Document Organization
● Maintain organization of company files and shared drives
● Ensure documents are properly structured and accessible
● Assist with document management and internal organization

Executive Support

● Provide general executive assistance to two company leaders
● Assist with miscellaneous operational tasks
● Help executives remain focused on strategic work rather than administrative tasks

MUST-HAVES

● 3–4+ years of Executive Assistant / Administrative VA experience
● Strong experience with email and inbox management
● Excellent organizational and documentation skills
● Experience supporting multiple executives
● Strong proficiency in Microsoft Office
● High attention to detail and follow-through
● Ability to work independently and anticipate needs

● Experience with EOS (Entrepreneur Operating System)
● Experience using Ninety.io
● Experience supporting multi-location or franchise businesses
● Experience creating presentations or pitch decks
● Experience with Canva

WORKING HOURS

● Full-Time (40 hours/week)
● Preferred schedule aligned with Eastern Standard Time
● Must be available for regular executive communication and support

USD 500 - 800 per-month-salary
