About the Role
We are seeking a detail-oriented, proactive, and highly organized Logistics & Back Office Specialist to support the Managing Director in overseeing post-trade operations across global fertilizer transactions. This role focuses on coordinating trade documentation, managing shipping logistics, communicating with international vendors and buyers, and implementing simple operational systems to track trade progress.
As the company scales following recent funding, the Managing Director currently oversees multiple trades simultaneously, creating operational bottlenecks across communication channels and documentation workflows. You will act as a trusted right hand, ensuring trades move forward smoothly while reducing administrative burden and improving visibility across transactions.

- Manage the post-trade lifecycle across multiple commodity transactions, including document collection, validation, and coordination of shipping and logistics processes.
- Coordinate and track key trade documents such as Bills of Lading, insurance certificates, and shipping paperwork to ensure completeness and accuracy.
- Communicate with international buyers, vendors, shipping partners, and brokers to confirm documentation, timelines, and shipment status.
- Monitor and update trade status across multiple deals, ensuring stakeholders have clear visibility on progress and next steps.
- Conduct outbound calls and follow-ups with 10+ global counterparties, ensuring documents, approvals, and scheduling requirements are completed on time.
- Assist the Managing Director with trade-related scheduling, communication management, and operational coordination across multiple transactions.
- Create and maintain a centralized trade tracking system, potentially using Airtable, to improve organization and reduce fragmented communication.
- Draft templated outreach, follow-ups, and documentation requests to streamline communication with trading partners.
- Perform research and administrative support tasks to assist with logistics planning, vendor coordination, and trade operations.
- Identify opportunities to improve operational workflows and reduce manual processes within the company’s trading operations.
Qualifications
- 3+ years of logistics, shipping, or commodity trading operations experience (must-have)
- Experience managing shipping documentation and trade coordination (must-have)
- Strong written and verbal English communication skills for coordinating with global partners (must-have)
- Experience supporting international logistics or global trade operations
- Ability to manage multiple parallel transactions and deadlines with high attention to detail
- Strong organizational skills and ability to operate independently in a fast-paced, founder-led environment
- Commodity logistics experience (fertilizer, agriculture, chemicals, or bulk commodities) preferred
- Additional language skills such as Spanish or Mandarin are a strong advantage
