Overall purpose and responsibilities of the role:
The Project Management Associate (PMA) is a hands-on, execution-focused role responsible for supporting the delivery of projects across regions. This is not a strategic leadership position, but a coordination and operational support role, ensuring projects run smoothly, on time, and with high quality standards.
The PMA will work closely with internal teams, clients (from an operational or project coordination perspective), and global stakeholders to support the successful execution of leadership development projects.
This role is ideal for someone who enjoys organization, coordination, and making things happen behind the scenes. The PMA plays a critical role in ensuring projects are delivered smoothly, supporting both clients and internal teams in a structured and efficient way.
Duties and Responsibilities:
Project Coordination and Execution
- Support the planning, coordination, and execution of multiple projects simultaneously
- Track timelines, milestones, and deliverables to ensure projects stay on schedule
- Coordinate scheduling across clients, coaches, and internal teams
Communication and Stakeholder Coordination
- Act as a coordination point between internal teams and client-side project contacts
- Facilitate clear and timely communication across stakeholders
- Participate in project-related conversations (operational/technical), not sales-driven discussions
Documentation and Data Management
- Maintain accurate and organized project documentation
- Track project information in internal systems (e.g., NetSuite, Jira, Notion, etc.)
- Ensure data accuracy and flag inconsistencies when needed
Operational and Team Support
- Support day-to-day project activities and logistics
- Assist in onboarding processes and coordination of programs
- Collaborate with cross-functional teams across regions
Basic Financial Awareness (Non-ownership)
Support the tracking of project data such as budgets or margins
Ensure information is accurately reflected in systems
No responsibility for financial decision-making or ownership
2–4 years of experience in project coordination, project support, or similar roles
Strong organizational and time management skills
Ability to manage multiple tasks and priorities simultaneously
Excellent communication skills (written and verbal)
Experience working with multiple stakeholders and/or clients
High attention to detail and a structured way of working
Comfortable working in a fast-paced, international, and remote environment
Proactive, collaborative, and solution-oriented mindset
Nice-to-Have (Not Mandatory)
- Experience with project management tools (e.g., Jira, Asana, Notion, etc.)
- Exposure to working in global or cross-regional teams
- Basic understanding of project financials (e.g., what a margin is), without ownership
- Experience in SaaS, consulting, or professional services environments
- Familiarity with tools like NetSuite or CRM systems

- Not a strategic or senior Project Manager role
- Not responsible for owning project financials or budgets
- Not a sales or revenue-generating position
- Not responsible for leading teams or defining project strategy
