US Payroll Specialist

We are looking for a US Payroll Specialist to join our team. This is a key role that will provide vital support in delivering accurate and timely payroll processing, maintaining payroll compliance, and ensuring seamless coordination with internal teams. This person will manage various payroll functions, including salary computations, benefits tracking, and expense compliance, while also supporting financial reporting and accounting processes. With touchpoints across Finance, HR, and employee relations, the Payroll Specialist will play a crucial part in upholding data integrity, resolving payroll concerns, and enhancing the overall employee experience through reliable compensation practices.

Key Responsibilities

  • Payroll Processing - Calculate and process employee salaries, wages, bonuses, and other compensation accurately and on time.

  • Recordkeeping - Maintain accurate and up-to-date payroll records while preparing and maintaining reports and journal entries related to payroll activities.

  • Benefits Tracking - Calculation and tracking of employee benefits related to payroll provided by third parties

  • Legislation and Policy Compliance - Stay informed about changes in labor laws, tax codes, and other regulations affecting payroll to ensure payroll processes align with company policies and legal requirements.

  • Confidentiality - Handle sensitive employee information with confidentiality and discretion.

  • Communication - Respond to employee inquiries regarding payroll matters while communicating with internal departments, such as HR and finance, to resolve issues and ensure accurate payroll processing.

  • Problem Resolution - Investigate and resolve payroll discrepancies or errors while addressing payroll-related issues promptly and professionally, performing additional ad-hoc tasks as required, and assisting the accounting manager with capitalized software calculations.

  • Expense Processing and Compliance - Receive and review employee expense reports for accuracy, completeness, and compliance while ensuring adherence to company policies and providing guidance and support on expense-related queries.

Qualifications

  • Must have 2–5 years of Payroll experience in end-to-end payroll processing, preferably in a corporate or multi-client environment.

  • Good knowledge of US payroll laws, tax requirements, and compliance standards, including familiarity with deductions, benefits, and reporting obligations.

  • Proficient in Microsoft Excel for payroll data management

  • Strong attention to detail and ability to work autonomously, able to manage deadlines independently while ensuring error-free outputs.

  • Must be presently residing in the Philippines

  • Flexibility to work in US Eastern time

*Full-time permanent remote work

*Salary range: PHP 60,000-70,000 per month with HMO, Internet Reimbursement, and Paid Time Off/Leaves

*Pay is commensurate with experience
