The Opportunity
As we continue to expand our teams at Postman, we are seeking a motivated Recruiting Coordinator to join our Talent Acquisition team. Your role will be instrumental in shaping our globally distributed functions across Product, Engineering, Sales, Customer Success, and Operations. You will be responsible for ensuring an exceptional candidate experience by guiding candidates through the interview process, identifying and resolving bottlenecks, and monitoring interview process timelines closely. It's worth noting that many of our recruiting coordinators progress into roles as Global Recruiters or Recruitment Operations professionals, offering ample opportunities for career advancement. What You’ll Do
- Deliver a high-touch, best-in-class candidate experience across every stage of the interview process.
- Act as the primary point of contact for candidates, ensuring timely updates and clear communication throughout.
- Partner closely with recruiters and hiring managers across the APAC region to drive seamless interview coordination.
- Schedule and manage complex interview loops, handling last-minute changes with agility and precision.
- Welcome candidates, guide them through virtual and onsite interviews, and ensure a smooth, engaging experience.
- Own background verification processes, including candidate communication, documentation, and final checks.
- Maintain and optimize the Greenhouse ATS, ensuring accurate tracking, reporting, and data hygiene.
- Identify gaps in current workflows and proactively solve problems, building and iterating coordination processes to improve efficiency and scalability.
- Support pre-boarding and candidate engagement activities, ensuring a strong start to the Postman journey.
- Contribute to broader recruiting initiatives such as reporting, sourcing support, referrals, and operational projects.
About You
- 3-4 years of experience in recruiting coordination, ideally within a fast-paced, high-growth tech environment.
- Hands-on experience with Greenhouse ATS (must-have).
- Proven ability to manage multiple scheduling workflows with high accuracy and attention to detail.
- Strong written and verbal communication skills, with a candidate-first mindset.
- Excellent organizational and time management skills, with the ability to prioritize across multiple stakeholders (including APAC teams).
- Comfortable navigating ambiguity and last-minute changes in a dynamic environment.
- A strong problem-solver who can anticipate challenges, think on their feet, and drive solutions independently.
- High ownership mindset with a willingness to go beyond defined responsibilities.
- Detail-oriented, quick learner, and proactive.
- Positive, collaborative attitude with a strong focus on delivering exceptional candidate experience.

At Postman we value in person collaboration. We are in office 5 days a week for all roles based out of our hubs in San Francisco Bay Area, Boston, Austin, Tokyo and London. For roles based in Bangalore, employees currently work in the office three days a week and will transition to five days per week by the end of the year. We were thoughtful in our approach which is based on collaboration and grounded in feedback from our workforce, leadership team, and peers. The benefits of our in office model will be shared knowledge, brainstorming sessions, communication, and building trust in-person that cannot be replicated via zoom.
