Executive Assistant / Operations & Project Coordinator
**About the Role
**
We’re looking for a highly organized, proactive, and detail-oriented Executive Assistant to
support a fast-paced consulting business focused on marketing strategy, events, and client
delivery.
This is not a traditional EA role. You’ll act as a true right-hand partner, helping to manage
workflows, coordinate projects, and bring structure to a dynamic, growing business. There’s
strong potential for this role to evolve into a more senior operational or strategic position over
time.
Key Responsibilities
Executive & Administrative Support
● Manage inbox, calendar, and day-to-day scheduling
● Maintain CRM and databases with accuracy and consistency
● Handle general admin tasks and coordination
Project & Operations Management
● Support project delivery using tools like monday.com
● Track tasks, timelines, and deliverables across multiple projects
● Help bring structure and organization to workflows and processes
Client & Communication Support
● Assist with client communication (primarily email, occasional calls)
● Join client meetings where needed to support coordination and visibility
● Follow up with stakeholders, vendors, and partners
Event & Marketing Support
● Assist with event coordination and logistics
● Support marketing-related tasks where needed (e.g. Mailchimp, Canva)

● Highly organized with strong attention to detail
● A proactive self-starter who takes initiative without needing constant direction
● Comfortable working in a fast-paced, ever-changing environment
● Strong communicator, both written and verbal
● Confident, personable, and able to interact with clients when needed
● Calm under pressure and able to prioritize effectively
Skills & Experience
Essential:
● Experience in an Executive Assistant, Operations, or Project Coordination role
● Familiarity with project management tools (e.g. monday.com or similar)
● Strong organisational and multitasking abilities
● Experience with Google Workspace
Desirable:
● Experience with Cvent or event management tools
● Exposure to Mailchimp, Canva, or marketing platforms
● Familiarity with AI tools (or willingness to learn)
● Background in consulting, events, or hospitality industries
Working Style
● Must be available during US Central Time (CT) hours
● Comfortable working closely with a founder in a collaborative, fast-moving environment
● Able to think ahead, anticipate needs, and problem-solve independently
USD 600 - 800 per-month-salary
